Terms & Conditions

1) Bookings
a) Once a booking has been made, it only becomes contractual once you receive a confirmation email from Isporta
b) We accept all major credit and debit cards except for American Express and Diners Club. Payment can also be made via cheque and some recognised childcare vouchers – see website for voucher schemes currently accepted
c) Payment in full for camp bookings must be made at the time the booking is placed
d) Payment with childcare vouchers must be reserved with 10% deposit paid by debit/credit card at the time of booking. Please use your Surname and Customer ID as a reference and allow 5 days for the vouchers to reach Isporta
e) Prices are subject to change at any time, but changes will not affect camps where we have already sent a Booking Confirmation

2) Changes to Bookings
a) Dates can only be moved or altered within the same holiday season (i.e. Easter, Christmas), subject to availability, and will be honoured on a first- come first served basis
b) Any booking change request should be received within 10 days of your child starting a camp and is subject to availability
c) Changes are not possible with less than 48 hours’ notice

3) Cancellation of Bookings
a) All cancellations must be made in writing and acknowledged with an official Isporta response
b) Cancellations made 10-days or more in advance will receive a full refund
c) Cancellations made 9-6 days in advance we will receive a 50% refund
d) Cancellations made 5-days or less in advance will not be eligible for a refund due to staff, venue and insurance commitments
e) No administration charges will apply for a change to a booking (e.g. dates)
f) All changes are in accordance with Clause 4
g) Cancellations of days previously entitled to discounts could incur additional charges for remaining days recalculated at the standard daily rate

4) Venue cancellation
a) Isporta reserves the right to cancel advertised camp dates in exceptional circumstances beyond our control (e.g. adverse weather conditions, low attendance, flooding)
b) In the event of cancellation, we aim to give the maximum notice possible and attempt to offer a suitable alternative, subject to availability or a full refund where applicable
c) Communication of cancellation will be via email, text or posted on the Isporta website
d) If a camp runs but the customer fails to attend during adverse weather conditions, no refund is applicable

5) Late Pick-up
a) Our trading hours for ALL camps are 9.00am (drop off from 08.30am) to 4.00pm (collection by 4.30pm)
b) We cannot accept responsibility for any child BEFORE 08.30am
c) All children MUST be collected by 4.30pm
d) A late collection fee of £10.00 for every 15 minutes will be charged to cover additional staffing and insurance costs and is payable immediately
e) Parents/carers must contact Isporta as soon as they are aware they will be unable to collect by 4.30pm. Two members of staff are required to wait with your child until your arrival
f) If by 5.00pm we have received no contact from a parent/carer we will be required to contact Social Services to advise them we have an uncollected child
g) Parents /Carers who continually pick up late will be refused future bookings

6) Medical information
a) Our staff ratios are 1:10 for ages 4½ – 7yrs and 1:18 for ages 8 and over irrespective of any specific needs or medical conditions, including food allergies
b) All Child Medical Information must be fully disclosed for each child, providing us with all information which may be relevant to the child taking part in our camp. It is the responsibility of the parent/carer to contact us and inform us of any medical conditions and physical and/or behavioural needs of a child should they be significant enough to have to consider reasonable adjustments for the child to fully participate and enjoy the camp
c) If full information about medical or physical conditions, or behavioural matters, is not provided at the time of booking we reserve the right to cancel the booking and no refund will be paid
d) All information disclosed will be treated with complete confidence
e) It is our policy not to exclude any child due to specific needs and/or medical conditions wherever possible
f) If you child requires medication during the day on the camp, please bring this to the attention of the Camp Supervisor upon arrival as you will be required to complete a short Medication Form. Isporta Staff will only supervise, not administer the taking of any medication
g) If your child has an accident, we will deal with any minor accidents on site. The incident will be recorded on an Accident Report Form and you will be given a copy of this on arrival to check and sign
h) If there is a more serious incident or your child has fallen ill, you will be contacted by telephone immediately for collection using the emergency telephone numbers you have provided at booking stage
i) Any child who has experienced any form of sickness and/or diahorrea are not to attend any Isporta camp for a minimum period of 48-hours. Any child advising Isporta Staff that they have been sick, without prior notification from the Parent/Carer will be requested to be collected immediately using the emergency telephone numbers provided at booking stage. Our decisions are final

7) Child Exclusion
a) Isporta reserves the right to exclude any child for any reason should we deem it necessary. This includes where a child does not comply with safety rules or advice, does not act responsibly and courteously, is disruptive, does not participate, behaves in a way we deem to be inappropriate, fails to respect or affects the enjoyment of the other children on the camp. Our decisions are final
b) No refunds will be given if a child is not permitted to undertake or complete the camp

8) Equal Opportunities and Child Protection
a) Isporta are an equal opportunities provider and welcomes all children, regardless of their gender, ability, race or religion
b) We will contact the Local Safeguarding Children’s Board and act on their advice if a child makes a disclosure about abuse or if we suspect a child in our care may be suffering from abuse

9) Policies and Procedures
a) Copies of Isporta Coaching Camp policies and procedures are available on request

10) Data Protection
a) Occasionally we may contact you via email/mail or text with future information about our services. You may opt out of our mailing list when booking or afterwards at any stage
b) During our camps Isporta reserve the right to photograph activities for marketing purposes only. By accepting these terms and conditions you agree to allow group photographs that may contain your child, to be used for such purposes

11) Complaints
a) Isporta strive to provide a high-quality standard to all. We welcome suggestions on improvements and regularly ask for feedback from Parents/Carers in order that their needs can be met. Any concerns will be dealt with promptly and it is our aim that all Parents/ Carers feel comfortable to voice their opinions, safe in the knowledge they will be listened to, with a satisfactory conclusion for all involved
b) If you have a concern please email or call us. We will aim to deal with your complaint within 48 hours of its receipt

12) Non – Responsibility of Electronic devices
a) Isporta will not take any responsibility for any electronic devices (i.e. mobile phones, games consoles, tablets or any other type of electronic device) brought onto our camps. We strongly recommend that you do not allow your child to bring them. If your child has or uses such a device during the camp, you will be contacted and asked to come and collect them
b)Photography, on any electronic device, by children is strictly forbidden
